Why Duplicate Sales Rep Accounts Happen

Duplicate sales reps usually occur when employee details don’t match across systems. For example, if a rep is set up in Autop as John Doe, but sales come through from Evergiving under Jonathan Doe, Autop will treat this as a new employee and create a duplicate account.

It’s important to merge these accounts rather than delete one. Deleting the newer account will not fix the issue — future sales will continue to be assigned to a new profile, and the original rep will lose visibility over their sales and KPIs.

To help prevent this:

  • Ensure names are entered correctly when creating sales reps

  • Always add the badge number, which allows Autop to match sales even if names differ

  • Avoid creating duplicate accounts when multiple admins are managing users
    (Autop will also flag potential duplicates based on name and date of birth)

Merging ensures all historical and future data is kept in a single, correct account.
